1. What is the SD Fit-Gap Document?
The Sales & Distribution (SD) Fit-Gap Document is a foundational blueprint that maps Ameco's real-world sales and distribution processes into the SAP ERP system. "Fit" means our processes match standard SAP functionality. "Gap" means we need customizations (WRICEF) or changes to our business operations to make the system work for us.
2. Why Was It Created?
During our SAP implementation, we needed to ensure that our unique ways of selling, pricing, and distributing products were accurately reflected in the new system. This document was created to bridge the gap between business requirements and technical software capabilities.
3. Which Business Areas Does It Cover?
It covers the entire Order-to-Cash cycle, including:
- Master Data (Customers, Materials, Pricing)
- Presales (Inquiry, Quotation)
- Order Processing (Sales Orders, Make-to-Order)
- Fulfillment (Delivery, Goods Issue)
- Billing and Invoicing
- Exceptions (Returns, Credit & Debit Memos)
- Credit Management
4. How SAP Maps the Company Sales Process
SAP uses a highly structured Organizational Hierarchy to map our sales process. It breaks down our business into Company Codes, Sales Organizations, Distribution Channels, and Divisions. This ensures every transaction is tracked by the correct legal entity, product line, and sales team.
5. Standard vs. Customized Processes
Many of our processes are Standard (they work exactly as SAP designed them out of the box). However, where we have unique business rules, we have Customizations / WRICEF items (Workflows, Reports, Interfaces, Conversions, Enhancements, Forms). For example:
- Standard: Creating a basic Sales Order.
- Custom: Our mandatory two-step approval workflow for Sales Quotations (Financial Director, then Sales Director).
6. How Users Should Read This Section
This section is designed for Business Users. You should focus on:
- Understanding the "Why": Why a process matters to Ameco's bottom line.
- Knowing Your Role: What you are responsible for (and who you hand off to).
- Respecting the Controls: Recognizing the approvals and rules that must not be bypassed.
- Learning the Flow: Using the BPMN diagrams to visualize the end-to-end steps.
Instead of just learning how SAP works generically, this module teaches you how Ameco operates within SAP.
